Polite reminders based on the real balance

Invoice Payment Follow-up

Follow up on unpaid invoices without reminding customers who paid, disputed or arranged a plan.

Keep confirmed invoice balances, approved reminder rules, payment or credit events, holds and message history together before each follow-up is evaluated.

Only need this tool? Request it on its own. Secure account access and payment remain unavailable until the owner completes the account, database and Paddle launch checks.

Tired of this?

Unpaid invoices are chased manually and customers on hold can receive the wrong reminder.

Here is the fix

Send a polite, recorded reminder only when the invoice is confirmed and still due.

Plain answer

What does Invoice Payment Follow-up do?

Invoice payment follow-up checks that an invoice is confirmed, still due and fresh enough to trust before a reminder can be queued. Paid, held, disputed, cancelled, stale or unsubscribed records are suppressed instead of guessed. Every queued or failed message remains visible.

Who this is for

Common ways Invoice Follow-up supports the work.

Built for small service businesses. These examples describe the ordinary workflow, not a promise of an unavailable integration.

  • Review confirmed overdue balances before a reminder is queued.
  • Stop contact for paid, disputed, held or cancelled invoices.
  • Keep message attempts and provider states beside the invoice.
  • Import invoice status without processing the customer payment itself.

Core product workflow

The normal job, from first record to a checked outcome.

The product keeps the familiar buyer workflow. Each step uses plain status words and keeps the source record available for review.

  1. 01

    Create or import the invoice

Use manual entry or a validated CSV, keeping the exact sent amount, currency, due date and source state.

  2. 02

    Approve the reminder rules

Set plain wording, timing, quiet hours, maximum sends and a draft-first publish step.

  3. 03

    Check again before contact

Confirm the invoice is still due and within its source freshness limit before a reminder is queued.

  4. 04

    Record payment, holds and outcomes

Keep payment, credit, dispute, payment-plan, unsubscribe and message states as separate permanent events.

Included product work

The records and actions needed for this job.

The subscription stays focused on this named business workflow. Related tools remain optional choices.

  • Manual and validated CSV invoice records
  • Immutable sent invoice snapshots
  • Draft-first reminder policies
  • Paid, dispute, hold and unsubscribe suppression
  • Payment, credit and correction history
  • Queued, mail-server accepted, bounced and failed states

What works more clearly

The familiar product workflow, with clearer control where work can go wrong.

These safeguards keep important actions traceable, understandable and under the right person's control.

The balance is checked before every reminder

A payment, credit, hold or stale source stops the standard follow-up. The tool does not guess when it cannot confirm the current state.

Message states say what actually happened

Queued, accepted by the mail server, bounced and failed remain separate. Delivery or reading is not inferred.

Sensitive accounts stay owned by a person

Disputes, payment plans and manual arrangements pause standard reminders with a reason, owner and review date.

Clear product boundary

Know what this tool does—and what it does not do.

Limits are stated before payment so the product is not mistaken for a broader accounting, compliance or field-service system.

  • 01

This module records external or manual payment events; it does not process the business customer's card payment.

  • 02

It does not send threatening notices, legal demands or autonomous debt-collection messages.

  • 03

Only owner-approved templates, quiet hours and stop rules can be used.

  • 04

Accounting-system and payment-provider connections are not claimed unless separately configured and verified.

Data and access

Keep this work in the right workspace.

Protected records require a signed-in account, the correct workspace and the required module permission. Public samples use invented information. Cancellation, a late payment or trial expiry must not silently delete business records.

Questions answered plainly

Before requesting Invoice Follow-up.

Which invoices do not receive a reminder?

Paid, zero-balance, held, disputed, cancelled, written-off, stale or unconfirmed invoices are suppressed, along with contacts who have unsubscribed.

How does SystemLineage know an invoice is still due?

The latest confirmed manual or imported state must be within its approved freshness limit. If that cannot be established, the reminder is held for review.

Does this collect card payments from my customers?

No. This module tracks invoice and payment status for follow-up. It does not process your customer's card payment.

Can I pause one customer without stopping every reminder?

Yes. A hold can apply to one invoice or customer with a reason and review date while other eligible reminders continue.

How much does Invoice Payment Follow-up cost?

Invoice Payment Follow-up can be requested on its own, but its single-tool renewal price is not published until the owner approves the exact catalog. It is also included in Sales Follow-up. That package starts at $46 per month or $327 for the full year for one person; larger workspace limits go up to $139 per month.
